Role: Order Operations Specialist

Summary:
The Order Operations Specialist ensures customer orders are received, validated, entered, and fulfilled accurately and on time. This role partners with Sales, Finance, and Fulfillment to maintain data integrity, meet SLAs, and deliver a smooth end-to-end order experience.
Key Responsibilities:
• Validate order details (pricing, SKUs, taxes, terms, addresses) before submission.
• Enter and maintain orders in CRM/ERP systems (e.g., Salesforce, NetSuite) with 100% accuracy.
• Track order status from intake through fulfillment; proactively communicate updates and delays.
• Coordinate with Sales, Procurement, Logistics, and Billing to resolve holds or exceptions.
• Monitor inventory and lead times; propose alternatives or split shipments when needed.
• Own RMA/returns and order change requests, ensuring proper approvals and documentation.
• Maintain SLA adherence for order entry, confirmations, and delivery notifications.
• Reconcile discrepancies between quotes, POs, and invoices; escalate as appropriate.
• Generate daily/weekly order reports and metrics (backlog, cycle time, accuracy, OTIF).
• Contribute to process improvements, SOP updates, and system clean-up initiatives.
General Requirements:
• 1–3 years of experience in Order Management, Sales Operations, or Customer Operations.
• Strong English communication skills (written and verbal) and customer-centric mindset.
• High attention to detail and data accuracy; comfortable working with numbers and SKUs.
• Proficiency with spreadsheets (Excel/Google Sheets: VLOOKUP/XLOOKUP, filters, pivots).
• Experience with CRM/ERP tools (Salesforce, NetSuite, or similar) preferred.
• Ability to prioritize, handle multiple orders simultaneously, and meet tight deadlines.
• Problem-solving skills to investigate issues and drive cross-functional resolutions.
• Willingness to work aligned to business hours and occasional peak-period overtime.
